Why Should we need to Implement HR Policies?

As organizations grow gradually, the employee related issues & matters become more and more problematic. Employees may feel unsure about what is expected of them or their rights, and there may be inconsistency in how various situations are handled. It can lead to dissatisfaction, misunderstandings, and even legal problems. Therefore, implementing the HR policies can be of great benefit to the employees because they help them understand their expectations. Having the right HR policies and procedures in the company is not enough, implementing them is what is important.

Here are 5 concise points on why we should implement HR policies in an organization:

1. Compliance: HR policies ensure compliance with employment laws and regulations, reducing legal risks.

2. Expectations: HR policies establish clear expectations and standards of behavior for employees.

Basic steps to implement human resource policies

1. Establish an HR department or governing party

For smaller companies, an HR department may not be required or practical, in which case, a governing party should be named. It’s important that employees and management are clear on policies and the individuals responsible for managing them. You can also outsource HR functions to a third party if you’re not quite ready to create an in-house human resources team.


2. Determine the needs of the employees

It is quite important to have a proper understanding about employee requirements, issues & suggestions when it is come to the implementation of HR policies. Many businesses employ a mix of worker types considering the roles and responsibilities within the organization. Therefore, it is a must to have precise measure about expectations of all the level of employees. 


3. Tailor The Policies to Organization

HR policies and procedures should be aligned with the organization’s vision, values, and culture. The size of the organization and resources should be taken into account and ensure that those policies are reflected in the organization. For example, you can come up with policies that state that all employees should wear personal protective equipment while working.


4. Check all local, government and industry-related laws and regulations

Ensure to understand and have addressed applicable laws and regulations in all the HR policies. If not, you may face noncompliance penalties, which vary depending on which laws you break. Keep current with the relevant laws and regulations as they can change at any time.


5. Communicate policies to employees

HR policies handbook should be accessible to everyone be it in softcopy, printed, or shared via email. The policies can also be displayed on noticeboards. New members of the company should be given the handbook to go through it and in case of any inquiries, they can have their questions answered. HR policies can be translated into various languages that will accommodate everyone to understand.

If we are establishing an entirely new set of policies, an information session can be helpful. Discussing the new policies before implementing them is important because everyone will have an opportunity to give their views and concerns. Having a discussion will create a clear understanding of the policies and how they will be beneficial.

Any changes or updates to policies should be announced as you implement them. Many companies require employees to sign documents stating that they’ve read and understood HR policies. 


6. Training Programs for managers

All the managers must be familiar with the rules in all the policies and competently able to follow through all the steps in your procedures. After all, they are the ones that will be carrying out appraisals, return to work interviews after absence or having difficult conversations with employees. They should receive regular training to ensure that their knowledge is up-to-date.

7. Enforce The Rules

If we notice that a high percentage of employees are violating a particular policy, we need to take steps to resolve the issue. For example, good timekeeping is important in any team. A late arrival at work can put unfair pressure on colleagues and affect the smooth running of the business. So if you notice that a few employees are arriving late to work in the mornings, you will need to review your policy and ensure that action is being taken to address the issue.


8. Monitor and Review the Policies Regularly

Policies should be reviewed and updated regularly to ensure compliance with the law. For HR policies to be valid, regular auditing should be conducted. This can be done annually but for specific changes, the policies can be done often. For the policies to be updated, legal amendments, changes in the market, technological advances, and business growth should be kept in mind.
